This article is completed: Find an order from the backend and complete shipping or refund processing.
Applicable only when the platform has enabled online purchasing. Inquiry orders are not covered here, see How to Handle Inquiry Orders. If payment has been made but not shipped, you can ask the customer to make additional payments or provide missing items; shipping cannot occur when there are pending payments.
Please set up payment flow and shipping first: How to Set Up Payment Flow and Invoices, How to Set Up Checkout and Shipping.
Prerequisites
- E-commerce + online purchasing must be enabled.
- Owners/Editors can process; viewers can usually only view.
Path
Sidebar Commerce → Order Management (/admin/commerce/orders).
List title "Order List". Orders will appear only after checkout is completed on the frontend.
What can be done on the list?
| Action | Description |
|---|---|
| Search | Order number, name, Email |
| Filter | Payment status, order status, Channel (online/POS), creation date range |
| Export CSV | On the right side of the page title. Download the current filtered results. Both online and POS orders are in the same file; each item is one row. If filters are set, only matching orders will be exported. A maximum of 5,000 orders at a time (newer ones first); if exceeded, the file will only contain these 5,000 orders, and a prompt will appear after download. Subtotal, shipping fee, discount, and total are the amounts for the entire order, and the same order will repeat in each item; please deduplicate by order number before summing. Item subtotal is the amount for that row |
| Click order number | Enter details |
| Print Shipping List | Print icon on the right side of each row. A new tab will open, displaying only the shipping list, and the print dialog will automatically pop up. After canceling, you can print again on that page |
| Batch Print Shipping Lists | After selecting the orders on the current page, Batch Print Shipping Lists will appear. Up to 30 at a time, printing in the same new tab sequentially, one page per order |
The fields generally include: Checkbox, order number, buyer, payment status, order status, amount, creation time, print shipping list. If there are unread customer messages, there may be a prompt on the list.
When there are no orders: Please first complete a test checkout on the frontend.
What to look for in order details?
The detail title is "Order {Number}". The Print Shipping List in the upper right corner will open a new tab with only the shipping list and automatically prompt for printing. The shipping list is A4, including store name, order number, recipient, phone, address (for convenience stores, it is the store), shipping and payment methods, item quantities and amounts, order notes, and a signature section.
The left anchor points generally include:
| Block | Content |
|---|---|
| Order Information | Creation/payment time, buyer Email, shipping method, payment method, payment deadline, subtotal/ shipping/ discount/ total. If tax is applicable, there will be an additional row for tax between discount and total |
| Recipient Information | Name, phone, address; for convenience stores, there will be store name, code, address |
| Item Details | Item, quantity, unit price, subtotal; design draft products may show design files |
| Logistics Information | Shipping records and logistics status (Pending shipment / Shipped / In delivery / Arrived at store waiting for pickup / Delivered / Returned) |
| Black Cat Frozen/Chilled Delivery (PAYUNi) | Only for low-temperature delivery orders: UNi logistics number, Black Cat delivery number, cargo status, and print shipping list, query cargo status |
| Customer Remittance Report | Only for bank remittance orders: last five digits of the reported account, amount, date, remarks |
| Electronic Invoice | Issuance status, invoice number; can be reissued, voided, or discounted (depending on payment flow/invoice activation) |
| Refund Records | Refund amount and status |
| Attached Files | Files uploaded by customers or design editor files; FTP status (Pending transfer / Transferred / Failed) |
| Event Records | Timeline of creation, payment, shipping, refunds, etc. |
| Customer Messages | Conversation with buyer (can reply) |
| Order Operations | Change status, ship, refund, confirm payment, mark cash on delivery |
ATM pending payment will display bank code and virtual account; convenience store code will display payment code.
Common shipping method labels: Home delivery, Convenience store pickup, Cash on delivery at convenience store, In-store pickup, General delivery (self-shipping), Black Cat Frozen Delivery (PAYUNi), Black Cat Chilled Delivery (PAYUNi), International shipping (self-shipping).
Common payment method labels: Credit card, ATM virtual account, Convenience store code, LINE Pay, Apple Pay, Jkopay, PayPal, International credit card (Stripe), Bank remittance, Cash on delivery, In-store payment.
How to check status
There are usually two columns on the screen:
| Payment Status | Meaning |
|---|---|
| Pending Payment | Payment not received yet (ATM/convenience store code, etc.) |
| Paid | Payment confirmed |
| Partial Refund / Refunded | Part or full amount refunded |
| Order Status | Meaning |
|---|---|
| Pending Processing | Performance has not started |
| Pending Cash on Delivery | Payment on delivery or cash on delivery at convenience store, waiting for payment |
| Processing | Preparing goods |
| Shipped | Handed over to logistics or marked as shipped |
| Completed | Process finished |
| Canceled / Overdue | Canceled or payment overdue |
Old data may still show merged statuses like "Pending Payment, Pending Pickup"; actual labels in the backend take precedence.
Common handling steps
Shipping (Home delivery / Paid)
- Confirm that the payment status is paid (cash on delivery can be shipped first, see below). If there are pending payments on the screen, please complete or cancel them first, see How to handle additional payments and documents.
- In Order Operations, find Shipping.
- If the store has enabled Green World logistics, you can select Call Green World to create a logistics order (success will bring in the tracking number), or close it and fill it in manually. Green World will use the logistics provider, package size, and sender from Shipping Order Settings.
- When filling in manually, enter the carrier and tracking code, then click Mark as Shipped (or 'Green World Shipping').
- After successful shipping, the logistics section will have a record; the system can send 'Order Shipped' to the buyer (depending on Store Notifications).
Green World's cash on delivery restrictions: Chunghwa Post does not support cash on delivery, please use Black Cat Express or ship manually; the cash on delivery amount limit is NT$ 20,000.
Low temperature delivery shipping (PAYUNi Black Cat Frozen/Chilled)
The logistics order is automatically created when the customer makes a payment; just print the shipping label when shipping:
- In the Black Cat Frozen Delivery (PAYUNi) or Black Cat Chilled Delivery (PAYUNi) card, select Shipping Date, Desired Delivery Date, and Package Size. The shipping date must be later than today, the delivery date must be later than the shipping date, and neither can be on a Sunday.
- Click Print Shipping Label, which will open in a new tab. You can click Re-download Shipping Label within 24 hours; after 24 hours, please reprint.
- After shipping, follow the usual process for shipping.
- The Black Cat delivery tracking number will be displayed after PAYUNi sends the delivery status notification; you can also manually update by clicking Check Delivery Status.
When the card shows "Not yet received PAYUNi's logistics number", it usually means the customer has not completed the payment.
Confirm receipt of payment (bank transfer/cash on delivery)
| Payment Method | Action |
|---|---|
| Bank Transfer | First verify the bank deposit amount with the last five digits of the Customer Transfer Report, then click Confirm Receipt of Payment. If the customer has not reported, you can confirm directly. |
| Cash on Delivery | You can ship before receiving payment, and the order will remain as "Awaiting Pickup Payment". After receiving the payment, click Confirm Receipt of Payment. |
After confirmation, the order will be marked as paid and the customer will be notified, this cannot be undone. For details, see How to Collect Payments Without Integrating Payment Systems.
Store Pickup / In-Store Payment
After the customer completes the pickup and payment at the store, if the screen shows Mark as Picked Up and Paid: click it. The order will change to paid and record the shipment. Please ensure the person is present and the goods have been handed over to the customer.
Update Status
The Change Status dropdown only lists currently allowed next steps. After selecting, click save. If there are no selectable options, it means this status cannot be changed with this button (e.g., completed).
Refund
- Paid orders will show a Refund section.
- Fill in the refund amount (leave blank = refund remaining refundable amount) and reason.
- Click Execute Refund. The system will refund based on the original payment flow of this order; changing the payment method afterwards will not affect the old order.
- If there is an electronic invoice, the system may void or issue a discount at the same time, please check the success message.
How to refund various payment methods:
| Payment Method | Refund Method |
|---|---|
| Green World Credit Card | System directly refunds. Partial refunds must wait until the transaction is closed (invoiced); refunds cannot be processed during Green World's automatic closing period from 20:15 to 20:30 daily. The test environment does not support refunds, please use the official environment or manually refund in Green World's backend. |
| Newebpay Credit Card (including Apple Pay, etc.) | System directly refunds. Full refunds can only be made before invoicing, partial refunds can be made after invoicing. |
| PAYUNi Credit Card/Apple Pay | System directly refunds. Full refunds can only be made before invoicing; installments and UnionPay cards can only be fully refunded. If the message asks you to try again later, it means the transaction is being invoiced, please try again later. |
| PAYUNi LINE Pay/Jkopay | System directly refunds, partial refunds are possible. |
| PayPal, International Credit Cards (Stripe) | System directly refunds, partial refunds and multiple refunds are possible. |
| ATM Virtual Account, Convenience Store Code, Newebpay LINE Pay | Automatic refunds are not supported. The system will create a refund record, please manually refund in the respective payment backend. |
| Bank Transfer, Cash on Delivery, In-store Payment | The system only creates a refund record, please refund the customer yourself. |
Low-temperature delivery orders: Refunds will not cancel the logistics order. If the goods have not been shipped, please cancel this logistics order in the PAYUNi store backend.
Invoice
When payment has been made and an electronic invoice has been issued, you can reissue the invoice, void the invoice, or issue a discount invoice.
- Cancellation Deadline: Invoices are issued bi-monthly and must be canceled before 23:59:59 on the 13th of the first odd month after the issuance period (for example, invoices issued in March-April must be canceled by May 13). After the deadline, only discounts can be applied.
- Donation invoices cannot be canceled, and refunds can only be applied as discounts.
- Invoices that have already been discounted cannot be canceled again.
For details, see How to Set Up Payment and Invoices.
Reply to Customer
Enter a message in Chat with Customer (limit of about 500 characters) and send it. The buyer will receive a notification (if the notification switch is on).
How to Verify
- Use a test account to place an order on the front end, and it will be visible in the list immediately.
- After shipping: Status changes to shipped, buyer receives shipping notification (check spam folder).
- Convenience store / Self-pickup: Store information matches the behavior of 'mark as picked up and paid' for operations.
- Refund: Amount and invoice status are correct; payment methods requiring manual refunds will prompt you to handle it in the payment backend.
- Remittance or cash on delivery: After confirming receipt of payment, the payment status changes to paid, and the customer receives a payment success notification.
Common Issues
| Situation | What to do |
|---|---|
| No order management in sidebar | Online purchase not enabled, or insufficient permissions. |
| List is empty | No one has successfully checked out yet; or filters are too strict, click 'Clear filters'. |
| Cannot ship | Most likely not yet paid; or status is already shipped/canceled. |
| Green World Logistics failure | Store not enabled for Green World Logistics, incomplete credentials, sender not filled in, selected Chunghwa Post but did not fill in package weight, or address missing postal code. See How to set up checkout and shipping. |
| Chunghwa Post order blocked | This is cash on delivery; Chunghwa Post does not support it, please switch to Black Cat or ship it yourself. |
| Refund failure | Green World account closure period (20:15–20:30), partial refund but transaction not yet requested, installment or UnionPay card wanting partial refund, test environment, or refundable amount is 0. Adjust according to error message and try again. |
| Refund shows manual processing required | ATM, convenience store codes, Line Pay with Neweb and offline payments do not support automatic refunds, please go to the payment backend or refund manually. |
| Shipping label cannot be opened | File exceeds 24 hours, please reprint the shipping label. |
| Invoice cannot be voided | Exceeds voiding period, donation invoice, or already has a discount; please issue a discount instead. |
| Remittance order missing confirmation button | Order has been canceled due to expiration, or has already been confirmed. |
