This page is how you quote a customer after an inquiry arrives, and update the status.
The buyer’s path, and how a product is set to inquiry, is in Inquiries, in brief.
Inquiry management appears in the sidebar only when the platform has turned on inquiries.
Where
Commerce → Inquiry management (/admin/commerce/inquiries).
The list title is Inquiries. Open a row from the inquiry number.
The list
Select several rows and use Bulk change inquiry status. Rows that cannot take that status are skipped. Export CSV, to the right of the page title, downloads every inquiry: one row per line item, including contact details, the quote, and the other form fields. At most 5,000 inquiries each time (newest first). If there are more, the file holds only those 5,000 and a notice appears after the download. The quote subtotal belongs to the whole inquiry and repeats on every line item. Remove duplicate inquiry numbers before you add them up.
Typical columns: inquiry number, contact name, email, status, item count, created at.
Status
| Status | Meaning | What you do next |
|---|---|---|
| Submitted | The customer just sent it | Move it to Under review before you can quote |
| Under review | You are working on it | Enter unit prices and Send quote, or close or cancel it |
| Quoted | The customer has the quote | Wait for accept or decline |
| Closed / Cancelled | Finished | You usually do not quote again |
| Converted | Marked as followed up outside the site (it does not become an order by itself) | — |
From Submitted you can move to Under review or Cancelled. A quote is not done from the status menu. While the inquiry is Under review, you send it from the quote section. If the customer declines, it returns to Under review and you can quote again.
Work one inquiry
- Open the detail. Check Inquiry info, Contact (phone, company, note), Additional fields (custom form answers), and Line items (the option snapshot).
- Under Actions, set the next status to Under review and press Update status.
- The Quote section appears (you can send only while it is Under review):
- Enter Unit price (quote) on every line
- Optionally add a Quote note and Quote expires at
- The screen previews Quoted subtotal (unit price × quantity, summed)
- Press Send quote. Success says “Quote sent”. The customer gets the quote by email or LINE, depending on the switches.
- After it is Quoted, the section shows the subtotal and the note you sent, read-only, until the status can be quoted again.
If you see “Enter a valid unit price for every line”, a row is blank or not a valid number.
After the customer replies
- Accept: they agree to this quote. Payment and shipping are arranged outside the site. It does not appear in the order list by itself.
- Decline: the status returns to Under review. Change the unit price and send again.
A guest replies through the private link in the message. Someone who is signed in uses My inquiries in the member area.
The form and the notifications
- Form fields: Store settings → Inquiry. Email and name are required system fields. They cannot be deleted. New inquiries use the new fields only after you save.
- Notifications: Store settings → Notifications → the inquiry section. Buyer: submitted confirmation and quote notification. Merchant: a new inquiry, and accept or decline. You can turn off the LINE “View inquiry” button.
See Email notifications.
How to check
- Submit a test inquiry on the public site. The list shows Submitted.
- Move it to Under review, enter prices, and send the quote.
- From the customer’s inbox or link, decline once. The admin should let you quote again.
- The order list should not contain this inquiry.
When it sticks
| What you see | What to do |
|---|---|
| There is no Inquiry management item | The sub-feature is off, or this account cannot open it. |
| There is no quote section | The status is not Under review yet, or it is already Quoted and cannot be sent again. |
| Send quote fails | A unit price is missing, or the server setup is incomplete. Contact the platform. |
| The customer says the mail never arrived | Check the notification switches, spam, and whether the quote link has expired. |
