This article covers: Setting how long to retain form submissions, and understanding how members can delete their accounts, as well as when the platform has accessed site data.
Path: Website → Privacy and Data Deletion (/admin/settings/privacy). Page title is 'Privacy and Data Deletion'.
Who can modify? Same as member management, by default only owners can write. Editors may see it but could be read-only.
This page is not the front-end 'Privacy Policy' article itself. A new site will automatically generate a front-end legal page linked in the footer; for editing and multilingual completion see Privacy Policy and Terms of Service.
1. Form Submission Data Retention
Decide how many days to retain records in the Form Submissions section of the backend. Submissions exceeding the retention period will be automatically deleted by the platform, and cannot be recovered from the backend.
| Options | Description |
|---|---|
| Use platform default (730 days) | About two years. Suitable for most sites. |
| Custom retention days | Can fill in 30–3650 days. The screen will display "Currently effective: N days". |
Click Save, and a success message will prompt "Form data retention settings updated".
Recommendation: Confirm your organization's personal data policy before shortening. Shortening will not immediately clear all old data on the screen, but will delete expired entries during regular operations afterwards. If you need a backup, please go to Form Submissions and Export CSV first.
Orders, appointments, and member accounts do not follow this retention period; this only concerns the submission records of dynamic forms and contact forms.
2. Members can delete their accounts themselves
Front-end visitors/customers can request to delete their accounts in Member Center → Account Information.
- You will be logged out immediately upon submission, and related connections will become invalid.
- There will be a 7-day cooling-off period, and deletion will be completed after this period.
- This is the customer's own account, not a backend member. Backend colleagues please go to Member Overview to have the owner remove it.
When the site owner receives a request to "delete my data":
- First, verify the identity of the requester (for example, ensure that the Email is indeed a member).
- Ask the requester to delete their account through the member center (if they can still log in).
- Records from forms, orders, appointments, and other modules will be handled separately according to your organization's process; this page will not delete all data from the site with one click.
3. Platform Support Access Records
When authorized technical support personnel access this site data, a summary (time, read/write/delete, brief description) will be listed here. No internal ticket details.
The empty state message is "Currently, there are no platform support access records." The absence of records does not mean the function is broken, just that there has not been such access yet.
How to verify
- Form retention: Change the number of days and save; the "Currently Effective" on the screen should update.
- Self-deletion: Use a test front-end account to go through the process (do not use a formal customer account).
- Support records: Can be empty normally; if you just requested support to check data, you can come back to verify the time.
Common issues
| Situation | What to do |
|---|---|
| Cannot find this page | Not the owner, or the sidebar is still in another section. See Sidebar cannot find feature. |
| Want to change the privacy policy text | Go to the page management section, not this page. |
| The form submission list suddenly decreased | May have exceeded the retention days. First export, then consider extending the days. |
| Customer deleted account but orders are still there | Orders belong to transaction records and may not disappear immediately with the account. For regulatory questions, please contact your organization's legal department or upgrade technology. |
